Offices

Office buildings need steady temperatures, clean air and equipment that keeps working when load-shedding and summer heat hit. Kenny Cape West handles aircon installation and servicing for staff areas, meeting rooms and small equipment rooms across the Western Cape.

Offices

Office spaces that need more than cool air

An office often has a mixed load. Open plan staff areas, small boardrooms, admin spaces, server cupboards and print corners all add heat at different times of the day. In the Western Cape, that load changes again with summer afternoons, coastal humidity in places like Cape Town and the West Coast, and winter shut-up days where fresh air drops but people and equipment still heat the room. We plan aircon around the actual use of the space, not just floor area.

For offices, the aim is even temperature, fewer hot spots and less strain on staff. A room that is too warm becomes uncomfortable quickly, while one that cycles badly can dry the air and create complaints. We work on new installations, replacements, re-routing of pipework and servicing for units that already run in the building. Since 2011, we have handled office work for single suites, shared premises and small commercial sites from Cape Town to Paarl, Stellenbosch, Malmesbury and Vredenburg.

Typical office equipment and room layout

Most office jobs start with a simple site check. We look at room sizes, ceiling height, sun-facing glass, number of people in each area and any equipment that gives off heat. A reception area with glass frontage needs different treatment to a quiet admin room. A small comms room or copier room may need more consistent cooling than the rest of the office.

  • Split-type wall units for staff areas and small meeting rooms
  • Ceiling cassette units where wall space is limited
  • Small cooling units for server cupboards or equipment rooms
  • Drain lines, isolators and clean pipe runs sized for the building
  • Thermostat placement away from direct sun and doors

Good layout saves money later. If the indoor unit blows across a doorway or into a window, it will short cycle and waste power. If a server cupboard shares air with a busy office, dust and heat can build up faster than expected. We also consider access for filter cleaning and future repairs, because a hard-to-reach unit is often the one that gets neglected first.

Installation planning that avoids common office mistakes

Office aircon problems often start before the first unit is fitted. The most common mistake is undersizing the system because the room feels small on paper. Another is using one unit to carry too many people or too much sun exposure. In summer, that means uneven cooling and higher electricity use. In winter, poorly planned systems can leave cold corners while the main work area is still stuffy.

We also see drainage issues where condensate pipes were not given enough fall, or where they were run through a ceiling with poor access. That can cause leaks above ceilings and around partitions. Another common issue is skipped maintenance, which leads to dirty coils, blocked drains and reduced airflow. On office work, those faults usually show up during the first proper heat wave, and by then the staff are already uncomfortable.

For new office setups or refurbishments, we can help with scheduling around trading hours, tenant access rules and body corporate requirements. In buildings with strict hours, it helps to plan installation in stages so staff are not disrupted for a full day. If the office is in a coastal area, we also pay attention to corrosion risk around brackets and external components.

Maintenance for comfort and lower call-out risk

Planned maintenance makes a clear difference in offices. Filters collect dust from foot traffic, papers, fabric fibres and outside air. Coils collect fine dirt over time and the unit starts working harder to cool the same room. Drain lines can clog, especially where a unit runs for long hours in warm weather. A blocked drain usually starts as a smell, then becomes water damage.

Our maintenance work for offices can include regular servicing, coil cleaning, drain clearing, temperature logging and seasonal start-up before hot weather arrives. We also do shutdown preservation where an office closes for a period or a room sits unused. That helps protect the equipment while reducing surprise faults when the space is switched back on.

  • Monthly or quarterly checks for busy premises
  • Filter cleaning and coil wash-out where needed
  • Drain clearing to reduce leaks and ceiling damage
  • Temperature logging for sensitive rooms
  • Seasonal start-up before summer and shutdown checks before long breaks

For offices with client-facing areas, a regular service plan also keeps the place looking and feeling tidy. The inside of the unit may not be seen by visitors, but poor airflow and dripping units are noticed quickly. A small maintenance schedule now is cheaper than an after-hours repair later, especially when staff cannot work comfortably without cooling.

Budget ranges for office work in Rand

Office aircon budgets vary by room size, unit type and how much pipework or electrical work is needed. As a general guide, a straightforward supply-and-install for a small office room can start from about R12 000 to R20 000. A larger open-plan area or a room with more glass and higher heat load can move into the R25 000 to R45 000 range, sometimes more if multiple units are needed.

Servicing and maintenance are usually more manageable. A single unit service may start from about R850 to R1 500 depending on access and condition, while multi-unit office maintenance contracts are usually quoted per site or per unit count. Call-outs for breakdowns depend on the fault, distance and parts required. If the issue is only a drain blockage or dirty filter set, it is usually far cheaper than a compressor fault or gas leak repair. Small equipment rooms are often budgeted separately, because temperature control there can need tighter tolerances than the rest of the office.

We quote according to the real site, not a rough guess. That includes checking whether the office is in Cape Town, Montague Gardens, Stellenbosch, Paarl, Malmesbury or Vredenburg, and whether the job needs after-hours access. A proper site view saves a lot of back and forth later.

What office managers usually ask us to handle

Most office clients want one supplier who can manage both staff comfort and the smaller technical spaces in the same building. That means planned maintenance for the main office area, call-out repairs when a unit stops cooling, and support for rooms that must stay within a tighter temperature band. We coordinate with building managers, finance teams and tenants so the work fits the site rules.

Our team includes Morne Jacobus van Wyk, Anele Mbeki, Charlene Adams, Ruan Smit, Lutho Ndlovu and Bianca Petersen, so the office side gets proper scheduling and clear communication from first call to sign-off. If your office needs a new installation, a service plan or help with a small equipment room that keeps overheating, we can assess it and give practical options without overcomplicating the job.

  • New office aircon installation
  • Maintenance contracts for staff comfort areas
  • Repairs after poor cooling, noise or water leaks
  • Support for comms cupboards and small equipment rooms

For offices, the best system is usually the one that is sized correctly, easy to maintain and not awkward for staff to live with every day.

What clients say

Questions we get asked

Do you install and service office aircon units in Cape Town and nearby towns?

Yes. We work across Cape Town, Montague Gardens, Stellenbosch, Paarl, Malmesbury and Vredenburg, with office installations, servicing and repairs planned around the site needs.

Can you help with small equipment rooms as well as staff areas?

Yes. Small equipment rooms often need steadier temperatures than open-plan offices, so we can service or fit cooling for both spaces in the same building.

What is the usual budget for an office aircon job?

A small straight forward installation can start from around R12 000, while larger or more complex office setups can move into the R25 000 to R45 000 range. Servicing is usually quoted separately.
