Privacy policy

This Privacy Policy explains how Kenny Cape West collects, uses and protects personal information in line with the Protection of Personal Information Act, 2013. It applies to enquiries, call-out bookings, maintenance contracts, cold-room work and related support services across the Western Cape.

Who controls your personal information

Kenny Cape West operates from Montague Gardens, Cape Town, and serves customers in Cape Town, Stellenbosch, Paarl, Malmesbury, Vredenburg and surrounding areas. The business is founded in 2011 and is managed by Morne Jacobus van Wyk.

For purposes of this policy, the responsible party is Kenny Cape West. The operator supporting certain marketing and website functions is Astros Marketing (Pty) Ltd. If you have a privacy query, you may contact us at callouts@kennycapewest.co.za.

What information we collect during bookings and service work

We collect only the information needed to respond to enquiries, attend site, complete repairs and manage service records. This may include details you give when you call, email or ask for a quote, as well as information recorded by our team during a visit.

  • Name, phone number and email address
  • Site address, delivery point or farm location
  • Business name, vat details where needed, and contact person
  • Equipment notes, fault descriptions and service history
  • Temperature logs, maintenance records and invoice details

How we use your information

We use personal information to arrange emergency call-outs, planned maintenance, aircon servicing, cold-room servicing, leak detection, drain clearing, seasonal start-up and shutdown preservation. We also use it to prepare quotations, issue invoices, schedule technicians and keep accurate records for repeat work.

Where a contract is in place, information may be used to monitor service intervals and to record readings, findings and parts used. This helps us support shops, farms and storage sites that must keep temperatures within set limits.

When we may share information

We do not sell personal information. We may share it only where needed to perform the service or where the law requires it. This can include sharing with staff members, contracted technicians or service partners working on our instruction.

  • Internal staff involved in booking, dispatch and accounts
  • Technicians attending your site or preparing follow-up work
  • Professional advisers, auditors or insurers where required
  • Authorities, if disclosure is required by law or legal process

Storage, security and retention of records

We take reasonable technical and organisational steps to protect personal information from loss, unauthorised access, alteration or misuse. Access is limited to people who need the information for business purposes. Where records are stored electronically, they are protected by access controls and business security measures.

We keep records for as long as needed for the service relationship, accounting requirements, warranty support and lawful business administration. After that, information is deleted or archived securely. In some cases, a record may need to be kept longer if the law, tax rules or a dispute require it.

Your rights under POPIA

You have rights in relation to your personal information, subject to applicable law. You may ask us what information we hold, ask us to correct inaccurate details, or object to certain processing where the law allows.

  • Request access to your personal information
  • Ask for correction or deletion, where lawful
  • Withdraw consent, if processing relies on consent
  • Lodge a complaint about the handling of your information

To exercise these rights, contact callouts@kennycapewest.co.za with enough detail for us to identify your record. We may need to verify your identity before acting on a request.

Cookies, online enquiries and policy updates

When you send an online enquiry, limited technical information may be collected so that the message can be received and answered. Any cookies or similar tools used on the site are intended for basic functionality, enquiry handling and measuring general site performance. We do not use your personal information for unrelated purposes without a lawful basis.

We may update this policy from time to time to reflect changes in POPIA, our services or our internal processes. The latest version will apply from the date it is published. Please review it periodically if you continue to use our services or submit enquiries.
